Here are the key, useful guidelines for PIV HOA website alerts:

Content and Subject Matter Guidelines

  • Prioritize Urgent/Important Info: Focus on road closures, water shutoffs, emergency weather, security, or major amenity closures.
  • Concise & Clear: Keep messages short and to the point. Busy residents may skip long, complex updates.
  • Consistent Content: Include who, what, when, and where. Include contact info for the manager or after-hours support.
  • Action-Oriented: For compliance reminders (e.g., holiday décor, tree trimming), clearly state the deadline and expected action.
  • Official Only: Ensure alerts are regarding official association business, not personal agendas or gossip.  

Posting and Formatting Standards

  • Centralized Alert Location: Use this dedicated page within the PIV HOA homepage under Resident Portal for immediate visibility.
  • Pinned Announcements: Pin important alerts to the top of the dashboard or homepage so they don't get buried.
  • Tone: Maintain a professional, neutral, and empathetic tone.
  • Mobile-Friendly: The PIV HOA website format is easy to read on smartphones.  

Safety, Legal, and Privacy Controls

  • No Personal Information: Never post sensitive data like specific addresses, names of delinquent owners, or individual violation details.
  • Redact Documents: If posting legal records, ensure all private, personal information is removed first.

  • Regular Monitoring: The PIV HOA Board will designate someone to check the site regularly to address issues.

  • 48-Hour Notice: Meeting notices must be posted at least 48 hours in advance.
  • Other Notices: Special assessments or rule changes regarding unit use often require notice (see PIV HOA Important Documents for details).
  • Document Posting: Required documents (budgets, insurance policies, contracts) are uploaded to the site appropriately either on the PIV HOA or GRS Community Managementwebsites.
